ClickUp – one User, Multiple Workspaces

The increasing popularity and spread of ClickUp has led to me now having four employers/projects in which I plan my work with ClickUp. Previously, there was a separate login for each workspace. This was tedious in everyday life, so I cleaned it up today.

What is a Workspace?

But before I report on the clean-up, let’s briefly recap: What is a workspace in ClickUp?

The workspace is the top level in the ClickUp hierarchy. When setting up ClickUp in an organization, you typically create a workspace where you work as a team and organize all your projects in folders and lists.

In ClickUp, a workspace is also where the license is managed. All members of a workspace must have the same ClickUp subscription. The licenses are then charged according to the number of team members. Conversely, this means: I can work with the Business features in one workspace and only use the free version of ClickUp in another workspace.

Also important to know: Data from one workspace cannot be shared with other workspaces. Workspaces are completely separate units.

Users in Multiple Workspaces

As a user, I can now belong to teams in multiple workspaces. In my case, the situation is currently that I work in ClickUp for two employers – Edupartner and Get More Brain. Both employers have a workspace with Business features.

In addition, I’m involved in a project at Morntag as a team member. And I also maintain a fourth free workspace for myself personally, where I organize my work for the PH Luzern.

As a user, I am uniquely identifiable in ClickUp by my email address. I can easily switch between the four workspaces in the app at the bottom left. I can also switch between workspaces at any time in the mobile apps.

Setup Tip

To use this setting, it’s important to be invited to all workspaces using the same email address. Then the workspace switcher is automatically activated.

If you’re already logged into multiple workspaces with different email addresses – as in my case – you can clean this up. To do this, you invite yourself to the team again as a new user. You use the same name but a different, desired login email.

Once you’re activated in all workspaces with the same, desired login, you can delete the old users.
