ClickUp is a fantastic tool for managing all kinds of tasks in one central location. Whether it’s team task planning or personal to-dos – you can capture everything in ClickUp. However, ClickUp is by far not the only app you can use for this: From Microsoft Planner to Todoist, there are numerous platforms for task management.
Once the recorded tasks are tied to a specific date, it would be practical if they also appeared in my personal calendar, where I can coordinate them with meetings and other appointments. Especially if you work with time blocking in your calendar, it’s incredibly helpful to have all pending tasks in view.
Google Calendar
If you plan your appointments with Google Calendar, you can benefit from a bidirectional sync in ClickUp. The ClickUp tasks are always kept up-to-date with your Google Calendar. You can make changes in both ClickUp and Google Calendar – both systems are always up to date.
This is, of course, the most comfortable method. However, not all of us work with Google Calendar, so the question arises whether this also works with other calendar apps.
Apple, Outlook, and other Calendars
I personally use a Mac and use the system’s own calendar on all my devices. It’s a very intuitive and solid solution. ClickUp also offers the possibility to transfer tasks to my calendar here, but it only works as a one-way sync.
ClickUp generates a live feed from the tasks, which I can subscribe to with the Apple Calendar (or Outlook or other calendar systems). All changes in ClickUp are regularly updated in the calendar.
However, if I change something in the calendar itself or delete a task, ClickUp doesn’t get notified of this. The connection is a one-way street and only runs from ClickUp to the calendar – not vice versa.
This connection still helps me not to forget any tasks. It’s quickly set up: Just go to the Settings in ClickUp.
- Select the menu item “Calendar”.
- Choose the Workspace whose tasks you want to see in the calendar.
- Choose “Everything” or limit the calendar to specific folders.
- Choose whether you want to see all tasks or only your tasks.
- Copy the URL for Apple or Outlook calendar.
- Save your settings.

You can now use the copied URL in an appointment app to subscribe to the ClickUp feed. In the Apple Calendar, go to “File” -> “New Calendar Subscription” and enter the URL there.

Microsoft Planner
Many task management systems can perform the trick with the calendar feed. Since I also use Microsoft Planner very actively, I have also set up a calendar feed from there. Check the FAQs of your task planner to see if it offers this possibility as well.
